Implementation & onboarding

Live in weeks,
not quarters.

Switching systems is the thing every practice dreads. So we made onboarding a structured project with a named specialist, a written plan, and a single go-live date — your data migrated for you, your team trained on your workflows, and no period of running two systems at once.

The launch timeline

Five phases from kickoff to go-live.

A predictable path with clear owners at every step. You always know what’s happening, who’s doing it, and when you go live.

Week 1Montego + your lead

Kickoff & scoping

A named onboarding specialist maps your current stack, your specialty workflows, and the states you operate in. You leave with a written migration plan and a go-live date.

  • Workflow and stack audit
  • Per-state compliance scope (CA / FL / TX today)
  • Migration plan and go-live date agreed
Weeks 1–2Montego does the work

Data migration & import

We import your patients, history, balances, and inventory from your current system and reconcile them against your records before anyone logs in. You review and sign off on a sample.

  • Patients, contacts, and clinical history
  • Outstanding balances, packages, and memberships
  • Inventory, lots, and product catalog
Week 2Montego + your lead

Configuration

Your record is configured for your specialty: charting templates, consent forms, roles mapped to scope, and the state compliance workflows for each location you run.

  • Specialty charting templates and consent forms
  • Roles and permissions mapped to scope of practice
  • Per-state supervision, consent, and audit settings
Weeks 2–3Your team

Training by role

Role-based training on the workflows each seat actually uses — providers at the chair, the front desk at intake and checkout, owners on reporting. Recorded sessions and a knowledge base stay available after.

  • Live role-based sessions (provider, front desk, owner)
  • iPad and patient-kiosk walkthroughs
  • Recorded library and searchable help center
Go-liveMontego alongside you

Go-live & hypercare

You move to Montego on the agreed date — no period of running two systems in parallel. Your onboarding specialist stays on through the first weeks of live operation to resolve anything in real time.

  • Single cut-over, no double-entry period
  • Dedicated support through the first live weeks
  • A checkpoint review once you’re settled

Durations are typical and shown as pending verified onboarding data; your exact timeline is agreed in the kickoff session.

What we bring across

Your history doesn’t start over.

Migration is done for you and reconciled before go-live — so day one on Montego looks like the practice you already run, not an empty database.

Patient records

Demographics, contact details, and clinical history brought across and reconciled.

Documents & photos

Consent forms, before/after sets, and attachments mapped to the right record.

Financials

Outstanding balances, active packages, and memberships carried over without a reset.

Inventory

Product catalog, lots, and on-hand counts imported so day one is accurate.

What we need from you

Three things, and we handle the rest.

One internal lead

A single decision-maker who can confirm workflows and sign off on migration.

An export from your current system

We tell you exactly what to pull; you don’t have to clean it first.

A few training hours per role

Scheduled around your clinic hours, not on top of a full day of patients.

After you go live

Support that doesn’t end at go-live.

Named onboarding specialist

One person who knows your practice from kickoff through go-live.

Support on every plan

Email and chat included; priority and a dedicated CSM on higher tiers.

Self-serve knowledge base

Searchable guides and recorded training your team can return to anytime.

Onboarding FAQ

The questions every switch raises.

Most practices go live within a few weeks of kickoff, depending on how much data is migrated and how many locations and roles need configuring. You agree a specific go-live date in the first session.

No. Migration and configuration happen before go-live, so you cut over on a single date rather than dual-entering into two systems during a transition.

Montego does. You provide an export from your current system — we tell you exactly what to pull — and we import, reconcile, and have you sign off on a sample before go-live.

Implementation is a one-time fee tiered to your plan — Starter $499, Growth $999, Practice from $2,500, Group from $10,000 — covering migration, configuration, training, and go-live support. Your subscription begins at go-live. See pricing for details.

Yes. Supervision, consent, scope, and audit workflows are configured for each state you operate in as part of setup — and those controls are included on every plan, never tier-gated.

Your onboarding specialist stays on through the first live weeks (hypercare), then you transition to ongoing support with a checkpoint review once you’re settled.
